The Talent Acquisition Scheduler plays a vital role in the Talent Acquisition team, managing complex interview scheduling and ensuring a seamless candidate experience and aligning with the Mission, Vision, and Values. This position requires knowledge of interview succession, exceptional organizational skills, attention to detail, and the ability to coordinate between multiple stakeholders in the hiring process. As an essential ambassador of IEHP, the Interview Coordinator is often the first point of extended contact for candidates and significantly influences their perception of the organization.

Key Responsibilities

  1. Schedule interviews, manage calendars, and optimize scheduling to minimize conflicts for hiring managers and panels.
  2. Communicate interview logistics, preparation details, and virtual links to candidates in a timely and professional manner.
  3. Monitor interview progress using the applicant tracking system (ATS) and ensure records are accurate and up-to-date.
  4. Act as the primary point of contact for interview coordination, serving as a brand ambassador during candidate interactions.
  5. Assist with scheduling, materials preparation, and day-of logistics for recruitment-related events.
  6. Review Talent Acquisition data to identify trends, evaluate performance, and recommend process enhancements.
  7. Gather and organize post-interview feedback from hiring teams to support decision-making and process refinement.
  8. Collaborate with Talent Advisors to ensure recruitment timelines and priorities remain on track.
  9. Ensure interviewers complete necessary training and stay informed on recruitment best practices.
  10. Assist with other Talent Acquisition initiatives and support evolving needs as required.
  11. Perform any other duties as required to ensure Health Plan operations and department business needs are successful.

Qualifications

Education & Requirements 

  • At least two (2) years of experience in recruitment coordination, HR administrative support, or a similar role required
  • Experience with applicant tracking systems (ATS) such as iCIMS, SAP, Workday, or similar platforms
  • High school diploma or GED required

 

Key Qualifications

  • Knowledgeable in best practices for scheduling and troubleshooting across multiple platforms
  • Familiar with recruitment data, reporting, and identifying areas for process improvement
  • Strong written/verbal communication skills across email, documentation, and stakeholder engagement. Skilled in ATS scheduling systems, MS Office, Outlook calendaring, and virtual platforms (Teams, Zoom, etc.)
  • Proven ability to:
    • Juggle multiple scheduling requests and shifting priorities without sacrificing quality
    • Have a high attention to detail
    • Work well independently and collaboratively in a fast-paced environment.
    • Be results-driven with the ability to adapt and learn quickly
    • Maintain confidentiality of sensitive candidate and hiring information
    • Show commitment to delivering positive candidate experiences that enhance employer branding

Work Model Location

This position is on a hybrid work schedule. (Mon & Fri - remote, Tues - Thurs onsite in Rancho Cucamonga, CA.)

Pay Range

USD $25.90 - USD $33.02 /Hr.
