Under the general direction of the Manager, Warehouse & Mailroom - Supply Chain Management, the Mailroom Processor - Supply Chain Management is responsible for mailroom coordination, collecting, processing, sorting, delivering, and receiving outgoing and interdepartmental mail packages and products, storage room maintenance, inventory tracking and product distribution.

Key Responsibilities

  1. Open, sort, route and deliver incoming letters, packages, other materials, and deliveries according to departmental and receiving specifications.
  2. Weigh, prepare and stamp outgoing mailings in the most cost effective, efficient manner using mailing machines.
  3. Track and report on postage accounting, prepare special reports depicting mail volume by department, destination and courier classification including FedEx, UPS, USPS, and internal accounts.
  4. Operate and maintain all mailing equipment and coordinate with equipment vendors for service and maintenance.
  5. Provide relevant and up-to-date USPS, FEDEX &UPS information to IEHP.
  6. Document the use of mailroom equipment and assist in training new team members and continue participation in ongoing skills development training.
  7. Make duplicate copies of office correspondence using duplicating equipment. 
  8. Maintain strict confidentiality of all IEHP correspondence.
  9. Drive and deliver letters, packages, and products to the post office and FedEx store.
  10. Perform other duties as assigned to provide support to team members and internal departments to ensure Health Plan operations are successful.
  11. MedHOK – responsible for meeting regulatory deadlines and coordinating with department leadership on meeting expectations and ensure reporting and time stamp accuracy for Senior Mailroom Processor review.
  12. Sort, count, and log all return mail.
  13. Daily auditing of at least 15% of all outgoing mail.
  14. Daily auditing of at least 15% of outgoing MedHOK mail.
  15. Inventory tracking and ordering of all supplies for supply rooms utilizing online ordering system, as well as stock, fill, maintain and clean supply rooms.
  16. Track and order all paper supplies for the building and restock individual department’s paper supply requests as needed.
  17. Create and generate kits labels from HSP for use and the creation of materials sent to members.
  18. Keep accurate records of incoming packages, including tracking number, carrier recipient and resolve on-site service delivery issues.
  19. Handle customer issues, answer questions, give advice, provide resolution, and utilize the feedback as a means to improve service delivery.
  20. Print, audit, and confirm mailings within HSP system, shared drive and email requests.
  21. Insert and audit all letters that come into the mailroom for postage.
  22. Process all outgoing mail by outlined deadlines in accordance with regulatory compliance.
  23. Maintain a safe, neat, and orderly work area while adhering to proper security procedures, and promptly inform management about unsafe conditions existing in the work area.
  24. Coordinate with internal departments to complete mailings per department requirements.
  25. Any other duties as required ensuring Health Plan operations are successful.

Qualifications

Education & Requirements 

  • One (1) year clerical experience in a customer service environment in any industry
  • High school diploma or GED required
  • Ability to operate standard office equipment
  • Word processing and data entry involving computer keyboard and screens, distribution of reports, filing and copying of records and/or correspondence, distribution of supplies and automobile travel within the Inland Empire
  • Must be able to lift, push or pull up to 25 lbs.
  • Items weighing more than 50 lbs. will require assistance when moving
  • Be able to stand for long periods at a time

 

Key Qualifications

  • Must have a valid California Driver's license and valid automobile insurance
    • Must qualify and maintain driving record to drive company vehicles based on IEHP insurance standards of no more than three (3) points
  • Familiarity with U.S. Postal Office procedures preferred
  • Familiar with personal computer applications: Microsoft Office and Windows operating system and strong written and verbal communications skills
