Under the direction of the Clinical Director of Community Behavioral Health (CBH), the Community Behavioral Health Senior Coordinator is responsible for providing administrative and coordination support in the areas of development and implementation of operational policies, strategies, and initiatives that support the overall projects related to the Community Behavioral Health Team Members. This position also interacts with members facilitating various tasks related to supporting the team.
Applicable to Bilingual job code only - This is a Bilingual (English/IEHP Target Language) position. The Team Member in this role must take a language proficiency assessment and must receive a passing score.
Key Responsibilities:
1. Perform a broad range of administrative duties for the Community Behavioral Health Program demonstrating initiative and sound judgment in handling confidential information.
2. Schedule, coordinate and attend Community Behavioral Health meetings, ensuring presentations are completed, documents are developed, and minutes and action items are tracked and managed.
3. Coordinate departmental office administration, including word processing and other computerized applications, record management, and general overall office management.
4. Coordinate departmental and Committee meetings including preparing sign-in sheets, agenda, meeting rooms, meeting minutes and meeting documents. Assist in coordinating items to be presented by Team Members and upload presentations.
5. Place office supply orders and maintain inventory. Ensure orders are complete and accurate, including verifying materials received and reconciling discrepancies.
6. Exercise independent judgment and discretion in such tasks as scheduling appointments and managing Community Behavioral Health Leadership and team calendars. Coordinate one-on-one meetings, annual reviews, training sessions and ad hoc meetings for Director of Community Behavioral Health
7. Complete Team Member Access Request Forms and administrative department orientation for new Team Members.
8. Prepare and coordinate plans for visitors including access badges, internet access and directional maps.
9. Prepare and coordinate travel arrangements including vehicle reservations, travel requests, itineraries, and reimbursement requests.
10. Act as primary liaison to Human Resources, Mailroom, Helpdesk, and Facilities to coordinate and assist with support request.
11. Assist with job aids, workflows, standard operating procedures and redlining policies initiated by Community Behavioral Health Leadership.
12. Manage expenses for related licenses, subscriptions and educational/clinical society memberships.
13. Maintain all promotional items which includes ordering, inventory, and stocking necessary materials.
14. Oversee Community Behavioral Health sponsorships and responsible for collecting necessary information for submission to Community Partnerships.
15. Tracking and trending Community Behavioral Health Budget utilization.
16. Assist the department as needed at events held within the community that may at times be held on occasion on evenings or weekends.
17. Responsible for any other duties as required ensuring Health Plan operations are successful.
