The Production Assistant provides oversight and guidance on all Digital Communications administrative tasks, project, and campaign management support. This position is responsible for envisioning potential issues with Digital Communications projects and providing real-time issue resolutions. Under the direction of the Director of Creative Services, the Production Assistant will support complex and high-volume calendaring, data management, research, data entry, quality control, report generation and analysis, and develop and enhance departmental workflows. The position also supports the department with non-complex video production and photo editing as well as maintaining and organizing the department's digital assets management, archiving systems and distribution.
Key Responsibilities:
1. Provide digital media production support to the digital communications team and provide production managing support for the creative development and production processes for all multi-media marketing deliverables.
2. Manage project support for the execution and delivery of all enterprise-wide projects across the organization with multiple departments.
3. Perform light to non-complex video capture, video editing, photo editing, and supports the distribution of the department’s digital media assets.
4. In collaboration with other IEHP departments, organize video pre-production, production, post-production and audio-visual event planning and creative activities.
5. Schedule and manage recurring and ad-hoc video productions, audio-visual events and meetings.
6. Manage and coordinate outside specialized services needs for the department such as, but not limited to, make-up artists, voice-over artists, and closed-captioning services.
7. Guide and organize internal and external talent for video and audio/AV production needs.
8. Organize and process all project bids in the department’s financial system.
9. Work as a liaison between the enterprise and marketing vendors to ensure the on-time delivery of all projects, including assisting in the issuance and evaluation of RFPs and vendor bids.
10. Provide travel arrangements for the department as requested.
11. Guide and track digital communications campaigns and projects using online project management software from initiation to final delivery.
12. Process all invoices and update the digital communications’ budget as needed.
13. Respond to client inquiries on project status and proactively contact clients to provide update on projects.
14. Assist with personnel project allocation recommendation based on current department overall resource capacity.
